It was suggested that we should give free hot coffee at our table. • New Coffee Makers purchased • The 2007 trip to Costa Rica The Commission decided to revisit this item at a later date. • Richfield Friendship City Commission website Dave said he would call Scott Bradley and ask him about setting up a profile and granting access to the web server for Barb Johnson, who has been asked to create a website for the Commission. • Secretary for the Commission Barb was elected secretary of the Richfield Friendship City Commission. There was discussion about selling bags of coffee, and perhaps having drawings for. free bags of coffee. • Richfield Friendship City Commission website Dave spoke with Scott Bradley about the website. Marty suggested that we invite Scott to the next meeting to discuss the logistics of us getting our website up and running. • Vice Chair for the Commission Fred was elected as the Vice Chair for the Richfield Friendship City Commission unanimously. There was no Treasurer's report, as Will Berend was not present at the meeting. Those present included Will Berend, Carol Mortenson, Frank Sitko, Dave Delzer, Cynthy Mandl and Mayor Marty Kirsch. Excused were Henry Piedra, Fred Walk and Lea Walk. Barbara Johnson was not there. Will Berend reported difficulties in getting copies of the commission's reports. A meeting with RBCU's Jen Fowler and the commission chairman resolved the situation with Will Berend being added as authorized to sign; He will receive account statements as long as he continues as chairman. The commission does have two accounts; there is zero dollars in checking and $1800 in savings. Kristian Dahl and Joe Garcia were removed as persons authorized to sign checks. Fred Walk will be added as soon as he is given and fills out an application to be signed by the chairman. Will Berend will see that Cynthy Mandl gets reimbursed for the Selva Verde Lodge down payment and other expenses. Airplane rates have also been secured by making a payment of $1600 to Carrousel Travel. Frank Sitko reported on his efforts to repair the "Hands of Friendship". The trophy companies were unable to help him. He was able to get marble from a cabinentry company. There was a charge for cutting the marble and it needs to be honed down to soften the edges. Mr Sitko was commended for his efforts. Soon the sculpture will be returned to it's place at City Hall. Cattail Days will be September 16th. Dave will register us. The charge will be $25. We can use Cynthy's shelter but she has a conflict so will probably not be able to attend. Volunteers will be needed for the booth. We may ask some of the past members of the commission to help us. Coffee will be made at the Farmer's Market by Will Berend. Cynthy will order a case of shade grown coffee from Cafe Brit. The itinerary for the Costa Rican tour March 8th thru March 19th was presented by Cynthy. The cost will be $1799. This includes airfare, food, lodging and a $100 donation to the Friendship City Commission. Carol has made address labels for those who indicated an interest while visiting our booth. Cynthy will prepare a mailer to be sent to them and others we hope may want to go on the tour. Our next meeting will be in the City Chambers August 17th and will include an open house to promote the tour. A table will be set up at the Farmer's Market August 5th and 12th to provide information on the tour. The September meeting will be on Thursday September 14th because of the primary election. We will make our annual report to the City Council and then retire to the Heredia room to work out final details for Cattail Days. The meeting was adjourned. We will participate in Cattail Days 2006. The Richfield Friendship City Commission is sponsoring a trip to our companion friendship city of Heredia, Costa Rica March 8-19, 2007. The meeting scheduled to cover last minute preparations for Cattail Days and for other issues was not held because we did not have a quorum. Cattail Days went well. Will Berend made the coffee; we gave away free nine gallons of Costa Rican coffee. The booth recieved numerous visitors, a surprising number of which were either interested in our tour or had been or were going to Costa Rica for other reasons such as business. We would like to thank those volunteers who helped man the booth, Cynthy Mandl for again lending us her canopy, the folks at the City Garage where are display items are stored, and the Marion council of the Knights of Columbus who loan us an insulated urn to keep the coffee hot while we dispense it. We appreciate the efforts of all who help us extend the "hands of friendship" and support our efforts to communicate the open hospitality of the people of Heredia and the exquisite beauty of the country of Costa Rica. Move to EarthLink. 1 MINUTES FRIENDSHIP CITY COMMISSION 10/19/2006 The meeting of the Richfield Friendship City Commission met in the Heredia Room in City Hall October 19th, 2006 at 7 PM. Those present were Fred Walk, Frank Sitko, Dave Delzer, Mayor Marty Kirsch and our Ambassador Cynthy Mandl. Jessica, Leah and Carol were excused. An error regarding the September 14th meeting was pointed out. Since City Council meetings now begin at 6:30 PM and we were one of the first items on their agenda, our agenda should have reflected a 6:30 start. One member did come at 7PM and sat thru most of the Council Meeting waiting for our report to come up. So we did indeed have a quorum and could have convened our meeting except that our members were in two different rooms. The Chairman apologized to Mr Sitko as it was his mistake. Cynthy Mandl reported on the late coffee shipment from Cafe Brit. It arrived the week after Cattail Days; was one bag short and the shipping carton that the coffee came in was damaged. The corner of the box was broken and a coffee bag burst. The shipping container had been misaddressed. UPS was less than helpful in rectifying the problem so Cafe Britt was contacted and will take care of it. Deposits of $1500 for the Costa Rica tour were deposited bringing our savings account to $2404.51. There is $267 in checking. The motion was passed. The treasurer will reimburse these individuals as soon as possible. The Chairman asked for volunteers to act as Secretary until the new terms begin. Receiving none the Chair will do them until the first of the year. Cattail Days activities were recapped. At least ten gallons of Latin American coffee was given away. The coffee makers that Frank Sitko bought worked very well. Will Berend made the coffee at the Farmer's Market and that worked very well. Fred, Justin and Dave Delzer set up the shelter proving that it can be done without the instructions which were later found. Thanks to Cynthy Mandl for lending us the use of her shelter. Carol and the others set up the display and braved a short rainstorm and a windy day manning the booth. Chris Delzer helped with the transport of coffee. There was a lot of interest in the friendship city exchange and appreciation for the free coffee. Special thanks go to Carol, Fred, Leah, Justin and Chris for helping get the job done. Three deposits from the Hoffman's and from Shirley Erickson have come in and were deposited. Others who have indicated they are going need to get their deposits in. Move to EarthLink. Minutes: Richfield Friendship City Commission Meeting December 14, 2006 Heredia Room, City Hall The meeting was called to order. Members Will Berend, Frank Sitko and Dave Delzer were present. Our ambassador Cynthy Mandl was there and Mayor Kirsch joined us later. Minutes were approved as corrected reflecting the attendance of Frank Sitko at the November meeting. The Treasurer brought the check book and paid the following obligations: Frank Sitko $20; Cynthy Mandl $ 118.99; Dave Delzer $69.95 leaving a balance of $65.78 in checking. There is $6904.51 in savings. There are 14 committed to go on the tour. We will fly American Airlines. Regarding tour projects we are still waiting a response from Alvero. Dave will contact Joe Garcia to see if he can help us find durable medical egpt donations. Maybe we can take a wheelchair or walker. Members were asked to let people know that we need new members to fill upcoming vacancies. The meeting adjourned.
